A well-established award winning and highly respected commercial general contractor who works on some of the coolest projects in Southern California, is seeking an experienced Project Administrator to support multiple Project Managers on complex, design-driven commercial interior projects.
This is not an entry-level role. we are specifically seeking candidates who have worked within a GC environment and understand construction workflows, documentation standards, and subcontractor coordination.

About the Role
The Project Administrator plays a critical part in ensuring successful project delivery by managing construction documentation, coordinating project communication, and supporting the project team from preconstruction through closeout. You will work closely with PMs, field teams, subcontractors, and clients in a fast-paced environment.
Key Responsibilities
- Support Project Managers in organization and execution of construction administration tasks
- Manage invitations to bid, bid tracking, and document distribution
- Prepare proposals, project setup documents, and AIA contract forms
- Issue, track, and maintain accurate logs for subcontracts, change orders, and purchase orders
- Obtain, verify, and track subcontractor insurance, COIs, and licenses
- Assist with owner and subcontractor billings; review supporting documentation
- Prepare meeting minutes, progress reports, and project correspondence
- Maintain project files including lien releases, logs, and closeout documentation
- Coordinate communication between subcontractors, clients, field teams, and internal departments
Required Qualifications
- 3+ years of experience as a Project Administrator, Project Coordinator, or similar role within a Commercial General Contractor
- Strong understanding of construction processes, documentation, and terminology
- Experience working with AIA documents and owner/subcontractor contract administration
- Proficient in MS Office (Excel, Outlook, Word), Adobe, and standard construction administrative tools such as Procore
- Excellent communication skills, both written and verbal
- High level of organization, accuracy, and attention to detail
- Ability to multitask and prioritize in a fast-paced environment supporting multiple PMs
Preferred Qualifications
- Experience supporting commercial interior TI projects preferred
- Familiarity with reading plans, specifications, and technical drawings
- Previous experience with project management software (e.g., Procore, CMiC, or similar)
